Hotel rooms in different categories have been reserved for Congress participants. It is anticipated that the hotel situation will be very tight during the Congress. It is, therefore, advisable to reserve rooms as early as possible. Rooms will be allocated on a first come first served basis. No rooms can be reserved unless complete credit card details are sent to ICS.

Hotel Reservation
Participants, who wish to reserve hotel accommodation, should indicate their preferred hotel on the hotel reservation form. Reservations can be made either on-line or by faxing the form (to be downloaded) to ICS on fax number + 45 39 46 05 15. Reservations will be made provided the hotel reservation form together with complete credit card details, are sent well in advance. If the hotel of your choice is not available at the time of booking, the nearest alternative will be allocated. ICS will, however, make every effort to comply with your request.
The credit card information you provide will, with regards to accommodation, be used towards the hotel as well as to ICS A/S to guarantee your room reservation. The credit card guarantee below is required information for booking of any hotel room above. In case of no-show, arrival after the reserved date or departure before the reserved date and cancellation, ICS A/S or the hotel may charge your credit card with the amount corresponding to the full stay requested. Payment is made directly to the hotel upon check-out. Carefully study the terms and cancellations fees below before booking your accommodation.
Cancellation: Notification of changes and cancellation must be made in writing and mailed, faxed or e-mailed to the ICS A/S. An administration fee will be charged depending on the date the change or cancellation is received by ICS A/S.
Hotel cancellation and change fees:
Until 30 June 2011: EUR 25
Between 1 July - 31 July 2011: EUR 50
After 2 August 2011: Minimum rate for one night. ICS A/S reserves the right to charge for the full stay depending on the hotels' terms and conditions
Change of hotel, guest, number of nights or dates: EUR 25
Credit cannot be given for late arrivals or early departure. All refunds will be processed after the congress
